Faculty/Staff Instructions for Installing Lotus Notes™for Windows
at Home
KSG users can access their Notes Mail via the KSG Intranet using any standard web browser, such as MS Internet Explorer or Firefox. For those who need the full functionality of Notes at home or on a notebook computer running Windows, the installation instructions are below. A copy of the Lotus Notes CD along with these instructions may be borrowed from the KSG Library.
R7 Client Requirements
Windows 2000, XP and XP Tablet
RAM - 128 MB required
256 MB recommended
Disk space - 256 MB required
Note: If you need Lotus Notes for the MAC please request through your FSA.
Important:
THERE IS A SECTION BELOW CALLED "TO DO AT THE OFFICE." READ THOSE INSTRUCTIONS BEFORE YOU GO HOME WITH THESE MATERIALS. You will need to copy a file from your office computer onto a diskette in order to complete the installation.
For Notes to work properly, you must folllow the instructions exactly as written, step by step.
TO DO AT THE OFFICE:
Your Notes ID file. This file is located in your C:\Program Files\Lotus\Notes\Data folder on your hard disk. The file will be named with your Notes username and will end in .ID. For example: bclinton.ID. You must have this file to install Notes on your home machine. Copy your ID file to the USB drive, floppy disk or CD that you'll take home. Contact your FSA if you have trouble locating your ID file.
Optional: Copy the names.nsf and desktop6.ndk files to take home also. The names.nsf file is your Personal Address Book. Be aware that your personal address book is not stored on the Notes server and if you add names at home, they will not appear on your personal address book on your office computer. The desktop6.ndk file is your Notes Workspace and will have icons of all the databases you currently use. Crucial if you want to take these files home: Both of these files are too large to fit on a floppy diskette, so you will have to either (1) transfer these files to your M: drive and access them remotely from home via the KSG Intranet--instructions in Information for Faculty and Staff) or (2) use a larger storage medium for carrying them home. For instance, a CD or a USB drives (also called flash, key, or thumb drive).
The Installation Process
NOTE: It is very important that you follow the instructions precisely. There are a number of settings which need to be set exactly as described here for the remote client to work. If any one of them is incorrect, the remote client will not function.
1. Close all running applications.
2. Insert the CD, browse to your CD drive. Double-click on the C94QIEN.EXE file to launch the installation.
3. Follow the screen shots below. Click Next to continue.

Click "I accept the terms in the license agreement," and click Next.

In the User Name field, enter your first and last names as they appear on your Notes account, and in the Organization field enter "Kennedy School of Government." Leave the default of Only for me, and click Next.

IMPORTANT: For the Installation Path, keep the default settings.

Do not change anything on the next screen. To accept the defaults, click Next.

Click Install.

4. Lotus Notes will begin to install the necessary files. You'll see a few screens like this one. This part of the installation may take 5-10 minutes, depending on the speed of your computer.

When you see this screen, click Finish.

5. You have now installed Lotus Notes. Copy your notes ID file, and if you wish, the optional names.nsf, desktop6.ndk, files to the folder C:\Program Files\Lotus\Notes\Data.
6. To initialize Notes, you must be connected to the Internet.
--Start Notes by selecting the program from the Start, Programs Menu or by selecting the desktop icon that was created. It's orange. Unless you selected an alternate location, the program should be in the Programs group.
--When you start Notes for the first time, you will have to configure it for your specific account (initialize it) just as you did in your office the first time you used it there.

The Initialization Process
Follow the screen shots below to initialize Notes.


IMPORTANT: for Staff or Fellows affiliated with either BCSIA, CID or Executive Programs, your mail is on a different server. In the Domino server name, enter "KSGMAIL4/KSG" or 128.103.190.117. If you are Faculty affiliated with BCSIA, check with your FSA to see which server your mail is on.
NOTE: If you receive a message that the server connection could not be established, and you are not affiliated with BCSIA, CID or Executive Programs, then under Domino server name replace "KSG/KSG" with the following: 128.103.190.88
Click Browse and navigate to the folder where your Notes ID file is located, for example, C:\Lotus\Notes\Data or C:\Program Files\Lotus Notes\Data. Open your ID file. Click Next. You will be prompted for your Lotus Notes password.

If you are asked "Do you want your ID copied to your C:\Program Files\Lotus\Notes\Data folder?" select Yes.

Here, enter your Lotus Notes password:

In the field "Instant messaging server name," enter sametime.harvard.edu

Do not select any options on this dialog box, just click Next.

Click OK.

When you open Lotus Notes for the first time after you initialize it, you will see the standard “Basics” Welcome Page instead of the Notes Workspace.

To make your Lotus Notes Workspace the default page, do the following:
- In the vertical Bookmark Bar at the left, click the Databases icon. It's the fourth icon up from the bottom...a yellow file folder with a blue cylinder in front of it.
- On the menu that appears, right-mouse-click the Workspace bookmark and select Set Bookmark As Homepage. Now the familiar workspace will appear each time you use the Notes client.
